Creating an Order from the Web App

Orders can be manually entered into Cartwheel without coming in through an online ordering system.

To create an order directly from the Dispatcher map, click on the + icon.

A quick create form will open, allowing you to create an order with the minimum parameters (see our article on quick order creation).

Alternatively, click the Full Form button to open the full order creation form.

You can also access the same form in a horizontal layout by navigating to the Orders tab and selecting Create:

Enter in the required order information: 

• Order Number: Enter the order number manually, or leave it as is. The system will automatically assign a job number to the order.
• Pick Up By: Choose the date and time for picking up your order.
• Deliver By: Enter the delivery time.
• Pick-up: Select the pick-up location from the drop-down list.
• Pick-up Address: The address of the pick-up location will automatically populate.
• Drop-off Name: Enter the customer’s name.
• Drop-off Address: Enter the full address (without the apartment/suite number), and the system will return a list of results. Select the correct address, and it will populate the field.
• Phone: Enter the customer’s phone number.
• Email: Enter the customer's email.
• Drop-off Notes: Enter information that will be visible to the driver in the Driver App.
• Controlled Subst.: Check if the order contains controlled substances. The driver will be required to scan the customer's ID or enter the customer's date of birth to complete the delivery. Learn more in the corresponding article about Orders with Controlled Substances.
• Catering: Check if this is a catering order. A special label will appear on the order card immediately after creation.
• Contactless Delivery: Check if the delivery should be contactless. This adds a "Contactless Delivery" label for the drop-off location in the Driver App, allowing the driver to identify it quickly.
• Frequency: if you'd like to create a recurring order choose the frequency from the drop-down list. Read more about Recurring Orders here.  
• Order Status: Enter the order status. If you're not assigning a driver right away, leave it as "Unassigned."
• Driver: Choose a driver from the drop-down list. You can leave it blank and assign a driver later.
• Payment type: Select the order’s payment type:
• Cash: The order will be paid for in cash. You will need to enter the cash amount.
• Order paid tips cash: the order is prepaid but without a tip.
• Order paid tips paid: the order is prepaid, including a tip.
• Paid with CC: The order was collected over the phone, or it was prepaid without any other information. You will need to also check the Photo checkbox at the bottom of the order so that the driver will know to take a photo of the receipt.
• Extra: Extra delivery.
• Photo: The payment type is unknown. The driver will need to add a photo of the receipt.
• Unknown: The payment type is unknown.
• Tip: Enter the order's tip amount.
• Subtotal: Enter the order's subtotal amount.
• Customer Delivery Fee: Enter the customer delivery fee.
• Total: Enter the order's total amount.
• Driver Pay: Enter the driver payment amount. This field can be calculated by the script; if set, the amount will automatically appear after the order is saved.
• Company Delivery Fee: Enter the company's delivery fee. This field can also be calculated by the script; if set, the amount will automatically appear after the order is saved.
• Driving Distance: The driving distance between pick-up and drop-off. Calculated automatically.
• Driver <> Pick-up Distance: The distance between the driver and the pick-up location at the time the driver accepts an order. Calculated automatically.
• Photo At Pick-Up: Choose an option from the drop-down list to determine if the driver is required to take a picture at the pick-up location. Available options are None, Required, and Optional.
• Photo At Drop-Off: Choose an option from the drop-down list to determine if the driver is required to take a picture at the drop-off location. Available options are None, Required, and Optional.
• Pick Up ETA: Estimated time of arrival of the driver at the pick-up location. Calculated automatically.
• Drop-off ETA: Estimated time of arrival of the driver at the drop-off location. Calculated automatically.
• View Order Details: Add order items if needed. You can specify item names and quantities, write descriptions, and add image links. Click "Add Item" to create a new item.
   

Click Save and Close. The order will be added to the list of orders.
